Program & Grant Specialist - (1 Year Term)

Location: Regina or Saskatoon, Saskatchewan (Hybrid)
Reports to: CEO, CoBSMEs

About the Organization

Coalition of Black Small & Medium Enterprises (COBSMEs) is a community-focused organization dedicated to supporting entrepreneurs and strengthening business networks through programs, events, and partnerships. Through community-outreach initiatives, we provide workshops, networking opportunities, and resources that support business growth and collaboration.

Position Summary

The Program & Grant Specialist plays a key role in the design, coordination, and execution of programs that support Black entrepreneurs. This role blends program delivery, grant sourcing and administration, and stakeholder engagement, while also contributing to building strong systems and processes that support organizational effectiveness.

This is a 1-year full-time position and the successful candidate can be based in Regina or Saskatoon with a hybrid work arrangement. Occasional evening or weekend availability may be required for events.

Key Responsibilities

Program Design & Delivery

  • Coordinate and contribute to the planning and execution of BBEI programs and initiatives
  • Manage participant registration, onboarding, and ongoing communication
  • Coordinate program logistics including scheduling, materials, and event support
  • Monitor program timelines, milestones, and deliverables to ensure effective execution
  • Identify opportunities to enhance program structure, delivery, and participant experience

Grant Administration & Compliance

  • Manage aspects of grant administration, including tracking budgets and eligible expenses
  • Maintain accurate, organized documentation to support funder reporting and audits
  • Ensure alignment with funding requirements and compliance standards
  • Support preparation of reports, updates, and submissions to funders

Stakeholder & Partner Engagement

  • Liaise with partners, facilitators, mentors, and stakeholders to support program success
  • Coordinate communications, meetings, and follow-ups with key stakeholders
  • Build and maintain effective working relationships to ensure alignment and delivery

Data, Evaluation & Reporting

  • Collect, manage, and analyze program data to support evaluation and reporting
  • Monitor key performance indicators and support impact measurement efforts
  • Contribute insights to inform program improvements and organizational decision-making

Qualifications

  • Post secondary education or diploma in Business Administration or a related field.
  • 2- 3 years of experience program coordination, grant management, or nonprofit operations is an asset
  • Ability to work independently and contribute ideas in a growing organization.
  • Excellent written and verbal communication skills
  • High attention to detail and accuracy, especially in documentation and reporting and Proficiency in Microsoft Office and digital tools
